Statuses, categories and fields

Once you have more than a few dozen items, these keep the list easy to work with. All of them are under Settings, and all of them are optional.

Statuses

Every item has a status. You start with two.

StatusGroupWhat it means
In serviceActiveCounts toward billing. The tag accepts reports.
PausedPausedNot billed. The tag shows as inactive.

You can add your own, like "Out for repair" or "In storage". Open Settings, then Asset statuses, and click Add active status or Add paused status. Give it a name and a color.

The group is what matters. Any status in the Active group behaves like In service. Any status in the Paused group behaves like Paused.

If you delete a status that items are using, ServiceTags asks you to pick a replacement first. The two starting statuses can't be deleted.

Categories

Categories group items by kind: med carts, beds, lifts. Open Settings, then Categories, and click New category. You can give each one a picture.

You can't delete a category while items are in it. Move those items to another category first.

Item fields

Item fields are the extra details you want on every item: serial number, purchase date, warranty end, model. Open Settings, then Item fields, and click New item field.

Tick Required field if every item must have it filled in. Pick Categories to show a field only on some kinds of item, or leave it empty to show it on all of them.

Deleting a field hides what was entered in it. It doesn't show up on items anymore.

Collections

Collections group sites, not items. Use them for regions, branches, or contracts: "Northeast", "Ohio branch". Open Settings, then Collections.

You can choose which teams can see each collection. Filter the Items page by collection to see everything at those sites.
